PDF vs Word: which format to send and when it matters
Published 2026-09-04 · Comparison
If you have ever stared at a Save As dialog wondering whether to export a PDF or a Word document, you are not alone. Both make sense, and both have a job to do. The short version: send a Word file when you want the reader to edit it, and send a PDF when you want them to see it exactly as you made it. Everything else is detail, and this guide sorts that detail out.
What each format is built for
A Word document is a living file. It is meant to be opened, edited, commented on and updated, which is exactly what you want when you are still collaborating on the content. A PDF is a finished document. It is meant to be read, shared and archived exactly as it looks, with its layout, fonts and page breaks locked in place.
Send Word when you want edits
If you are drafting a proposal with a colleague, collecting feedback on a report, or handing a template to someone who needs to fill in their own details, Word is the right choice. The receiver can type, restructure and comment, and you can track every change. That flexibility is a strength while the work is still in progress.
Send PDF when the layout must not move
The moment the document is final, switch to PDF. A PDF keeps its look on every computer, every phone and every printer, which is why contracts, invoices, legal documents and résumés are shared as PDFs. It also stops accidental edits: the reader sees your exact version instead of a typed-over copy. If a colleague sends you a Word file you need to circulate in a stable form, convert it to PDF before you pass it on.
The cost of each choice
The trade-off is real at both ends. Sending Word risks your carefully designed layout breaking on the other person's machine and opens the door to silent edits. Sending PDF protects the layout but locks the content, so if you genuinely need their input in the document, it is the wrong tool. Match the format to what the reader is expected to do, not to what is easiest to produce.
When you get the wrong format
Mistakes are easy to fix. Have a PDF but need an editable file? Convert the PDF to Word so you can keep editing without retyping. Have a draft in a note or text file and need a clean, final-looking document? The text to PDF tool turns it into a tidy PDF in seconds. The formats are a pipeline, not a dead end, and moving between them is fast.
The one-line rule to remember
Ask yourself one question: does the reader need to change the document, or just read it? If they need to change it, send Word. If they just need to read it, or if you need it to look identical everywhere, send a PDF. Apply that rule and you will rarely send the wrong file again.
