Collect signatures from multiple people on one PDF

Published 2026-09-18 · How-to

Some documents need more than one signature: a co-signed lease, a partnership agreement, a board consent or an NDA with several parties. You can collect every signature on a single PDF without expensive e-signature platforms, as long as you prepare the document well and gather the signers in a sensible order. Here is how to turn a single contract into a file that collects signatures from multiple people and comes back complete and protected.

Why every signer should work on the same file

When several people sign, the risk is a pile of separate versions, each half-signed and slightly different. Gathering everyone on one PDF avoids that: there is one agreement, one order of signatures and one final file everyone can reference. The document travels intact, each person adds their mark at the right spot, and the exact version they each approved is preserved. One shared file keeps the deal agreed-in-writing and simple to verify later.

Prepare the document before anyone signs

Assemble the final agreement before you ask for signatures. If the contract spreads across several documents, such as a master agreement plus an annex plus a signature page, merge the PDFs into one ordered file so no page is missing when people sign. Add page numbers so a 20 page agreement stays easy to reference during review. Removing blank pages and rotating any sideways scans before sending gives every signer a clean, consistent document to approve.

Gather the signers in the right order

Send the prepared PDF to the signers in the order the document requires, usually starting with the party that commits first. Ask each person to sign the PDF on the correct line, then return the file, and pass it onward to the next signer. Keeping the flow in order means each signature builds on the previous one and no one signs out of sequence. Move swiftly between signers so the draft does not go stale while people review it.

Understand the signature you are asking for

Explain to the signers what kind of mark is expected. For most everyday agreements a typed or drawn signature on the PDF is perfectly valid, and the difference between an electronic and a digital signature matters mainly when the law or the counterparty demands tamper proofing. If the agreement is high value or regulated, clarify whether a digital signature with a certificate is required before you start collecting marks.

Make the signatures permanent

Once every party has signed, the marks need to become part of the page so they show identically on every device. Flattening fuses the signature layers into the page, a step that is essential for a multi-signer document that will be emailed around, as covered in the guide to flattening a signed PDF. Then lock the finalized file with protect PDF to restrict printing, copying and editing, so the approved, fully signed version is the only one in circulation.

Store the signed original safely

Keep the final, fully signed PDF together with a record of who signed and when. Save it with a clear filename such as partnership-agreement-2026-09-18.pdf so it sorts cleanly in your archive. If a signer has legitimately lost their password and owns the document, the copy can be unlocked again for them. With one merged, flattened, protected file and a clean record, collecting multiple signatures becomes a fast, reliable process on any deal.
